Introduction to wage and supplement rates
Wage profiles and supplement rates are established to ensure that employees are paid correctly based on their working hours, personal seniority, task supplements, overtime, working outside regular hours, transportation, and/or absences.
The wage profiles form the basis for the automated payroll calculation, which can be exported from CleanManager, e.g. as a CSV file.
When wage profiles are created, they can be used to define the hourly wage rate for individual employees. The hourly rate is then used to pay employees based on the tasks that are scheduled for them in the calendar, as well as when they report hours themselves.
Personal supplements can also be created and allocated to individual employees.
Periodic supplements can be set up for tasks that are planned and performed outside normal working hours. Special supplements can be created and triggered for individual task types, and employees can additionally be compensated for overtime and transportation.
Finally, you can also create and customise absence types, which you can use to keep track of absence days, as well as pay employees for sick hours and similar. Read more about this in the following article: Introduction to absence types and absence hour types.

This is where you can find your wage and supplement rates
The administrator can see and set up wage and supplement rates in their settings.
In the menu, go to Settings > Wage and supplement rates |

Here, you can see your wage and supplement rates. The wage profiles can be customised with your employees' hourly wage rate, transport time rate, mileage allowance and absence hour rates. You can also set up personal and/or special supplements. Special supplements can be triggered by a specific cleaning type planned in the calendar. Adjust and customise the wage profiles and supplement rates to reflect your company. |

Settings for wage profiles
Wage profiles can contain rates for hourly working hours, transportation, and absence to help you pay your employees correctly.
This section will briefly describe the content of wage profiles, as well as the features you can use to customise them.

Hourly wage rates |
This number indicates the number of hourly wage rates, which are included in the wage profile. A wage profile can include multiple hourly wage rates, if these have been set up to activate and deactivate after a certain amount of time. Read more about it here: Wage profiles and hourly wages |
Transport time rates |
This number indicates the number of transport time rates, which are included in the wage profile. A wage profile can include multiple transport time rates, if these have been set up to activate and deactivate after a certain amount of time. Read more about it here: Transport rates |
Mileage allowance rates |
This number indicates the number of mileage allowance rates, which are included in the wage profile. A wage profile can include multiple mileage allowance rates, if these have been set up to activate and deactivate after a certain amount of time. Read more about it here: Transport rates |
Absence hour rates |
This number indicates the number of absence hour rates, which are included in the wage profile. A wage profile can include multiple absence hour rates, if these have been set up to activate and deactivate after a certain amount of time. Functions |
Edit wage profile: Here, you can adjust the set-up of the wage profile and, among other things, change the rates for the hourly wage, transportation time, mileage allowance, and/or absence hours. Delete wage profile: Using this function allows you to delete a wage profile permanently. A wage profile can, however, not be deleted if it is still allocated to an employee. This also applies to employees in the archive. Hide in planning: With this function, you can hide a wage profile to make it inaccessible when assigning wage profiles to employees.The wage profile, however, still stays in effect for employees who were assigned the wage profile prior to it being hidden. Settings for supplement rates
Each supplement can be adjusted to suit your payroll preferences.
This section will briefly describe the content of personal supplements, as well as the features you can use to customise them.

Wage type |
Here, you can add the wage type that corresponds with your payroll system. By adding a wage type, you can export the working hours in accordance with the wage type in your payroll system. |
Rate |
Here, you can see and add the rates for the specific supplement. These rates can be edited and adjusted to your company's employee expenses. |
Comments |
Here, you can see the comments from CleanManager in regard to the settings and time periods of the supplement. This field cannot be edited and will change depending on the setup of the supplement. |
Functions |
Here, you can make changes to your supplement. You can edit the name, the wage type, and the rate of your supplements. If you do not want specific personal or special supplements to be selectable in the system, you can hide them. There are 6 different categories for wage and supplement rates.
Each category covers standardized wage settings.
This section will briefly describe each category, as well as refer you to articles that can help you customise your wages and supplements.
Wage profiles |
Wage profiles are used for setting up and regulating hourly wages, as well as rates for transportation. This can apply to hourly paid employees with standardized wages or to employees with a performance-related wage. Personal supplement |
Personal supplements are used for adding additional compensation to your employee's working hours. Do your employees have a higher form of education for which they should be compensated? Have they been in the industry longer than most? Then you can edit the personal supplements in this category. You can create your own to set up the right personal supplements for your employees. Special supplement |
Special supplements are used to include supplements for cleaning types. Since some tasks can be extra demanding, require a lot of knowledge, or can be risky and therefore need to be compensated further, you can create special supplements to account for that. Therefore, you have the option to set up special supplements to be included in task types. For more information regarding this, go to the article: Special supplements |
Overtime |
You have the option to create overtime profiles as a supplement for your employees. These can be set to trigger after a certain amount of worked hours and can be individually set up, to account for the difference between part-time employees and full-time employees. Transport |
If your employees are to be compensated for their transportation time or travel mileage, you can set up supplements for them. For more information regarding this, go to the article: Transport |
Periodic supplements |
Periodic supplements define the supplements for your employee's wages based on the time period a task is carried out in. You can use already existing supplements for unsocial hours, bank/holidays, time off in Lieu and variable hours, which can be set up in regard to your specific settings. You can also set up periodic supplements, which can be edited and assigned to specific days of the week, as well as certain time periods of the day. Furthermore, it can also be used for specific holidays. You can set up a supplement to be included for transport or set up unique supplements, which are triggered based on other unique supplements and their position in the periodic hierarchy. Wage settings for cleaning types and absence
When setting up your preferences for wages and supplements, you should also be aware that rates can be added directly to cleaning types, absence types, and absence hour types.

Cleaning types |
Cleaning types, also known as task types, are used to organise your planning. Cleaning types can be set up in different ways, depending on how they are inteded to be used for your company, and depending on which add-on modules have been activated in your CleanManager. As for wage settings, you can determine if a specific type of task should trigger a different pay than your regular wage profiles. Absence |
In CleanManager, we distinguish between Absence and Absence hours. Absence hours are calculated on an hourly basis, while absence is totalled in days, e.g. how many holiday days, sick days, etc., an employee has within the payroll period. Absence types and absence hour types can be customised to include rates to compensate employees for their absence.
